What's new in Gtdagenda?


SSL For All Accounts

12/21/2011

We decided to offer SSL to all GTDAgenda accounts, and not make it a selling point for paid plans anymore.

With the proliferation of mobile connections, everyone needs to have maximum security for their connection to GTDAgenda, regardless of being a paid customer or just using a free account.

To turn SSL encryption on, if you don't have it already, go to Settings, and select the "Enable SSL" checkbox.


Send tasks by SMS to Gtdagenda

12/14/2011

You can now send a mobile SMS to Gtdagenda and it will be added as a task in your Inbox.

First you need to confirm your phone number, so we recognize it as yours when you send SMSs to Gtdagenda. Instructions on activating your mobile number are on the Settings page in your Gtdagenda account.

After your phone is confirmed, you simply send a SMS containing the task to our US number: 510-747-8939, and it will be converted as a task in your account. You can even save this number as a contact under the name Gtdagenda, for easy access.

We cannot guarantee this service works from all the countries right now. If you can complete the phone verification process, then everything is ok. If not, please send an email to support@gtdagenda.com to let us know.

NEW: Custom Task Types

You can now add your own task types in Gtdagenda, in addition to the default ones (Task, Memo, Meeting and Anniversary). You can also manage/delete the default ones.

To manage your task types go to Admin>Task Types:




Add a new Task Type, with a custom icon (15x15px). In this example we create a type called "Follow Up", and we choose a icon for it:



And you'll see it in your list of task types:




Now you can make tasks of this type:

You can now forward your actionable emails to this address:

tasks@gtdagenda.com

And they will be conveted into tasks automatically. It will recognize only tasks sent from the email address you are registered with.

If you'd like to send tasks from other sources, or give other people the possibility to send you tasks, you also have a unique generated address like:

xyz12@gtdagenda.com

That you can give away.
To see your unique email, go to Admin/Mailboxes menu.

New Gtdagenda Design (And More Improvements)

We've been working in the last two months on a new Gtdagenda design, and now that it's ready we can show it to you.

The biggest improvements:

- When clicking on a goal, you will not be presented a list of projects anymore, but the list of tasks in that goal, sorted by project.

- The calendar month name is now clickable, and this will display all the tasks due that month, sorted by day.

- Tasks and Calendar entries are not separate entities anymore, they are the same thing but you can choose a task Type when adding or editing the Task. Current task types are: Task, Memo, Meeting and Anniversary, and we will add custom tasks soon.

- Gtdagenda is 50% faster.

And we have five different color themes for Gtdagenda. You can choose from:

- Grey (defaut theme)
- Blue
- Green
- White
- Pink

NEW: Google Calendar Integration

We’d like to announce the new and immediately available integration between GtdAgenda and Google Calendar. You can now keep in sync your tasks and calendar events between both services.


To synchronize your GtdAgenda account with Google Calendar:

- Go to the "Extra" top-menu, and choose Google Calendar from the options. Or click the link below:

- Follow the link that says "Synchronize your account with Google Calendar".
- Grant GtdAgenda access to your Google Calendar.
- You will see a new calendar in your Google Calendars, called "Gtdagenda". This calendar be used to synchronize your GtdAgenda tasks.
- Highlight it to make it visible.


What you can do after your accounts are in sync:

1. New Tasks with a due date created in Gtdagenda will appear in Google Calendar. New Events created in Google Calendar will appear as tasks with due date in GtdAgenda.

2. Modifications of tasks in GtdAgenda (such as renaming, changing description, moving to context/project) will be performed in Google Calendar too. And modifications in Google Calendar will be performed in GtdAgenda too.

3. Deleting tasks in GtdAgenda will delete those from Google Calendar too. Deleting in Google Calendar will delete those from GtdAgenda too.

4. Doing a task in GtdAgenda will add a "Completed:" string in front of the task name in Google Calendar. Undoing the task will remove this string. Also (this is cool!) adding by hand a "Completed:" in Google Calendar before the task name will mark the task as Done in GtdAgenda! And removing the string will undo the task.

The Integration works with both Google and Google Apps Calendars.

As an Gtdagenda Affiliate, you can now create your own Campaigns, each with its own unique URL and its own statistics, so you can see which of your marketing efforts bring the best results.

To access your Affiliate dashboard, go to Extra>Affiliates from your top Gtdagenda menu, or Log In now.

To create a campaign, click on New Campaign in the Campaigns section.
Choose a unique Tracking code and campaign Title.



To promote a campaign, go to the Promote section, choose your campaign, and your unique URLs, both long and short ones (short could be better for Twitter) will be displayed along with the pre-built marketing materials.

Gtdagenda has had an API for a while now (Application Programming Interface), but it was limited to only managing tasks.

In the meantime our API evolved, especially for making it work with our iPhone and Android apps, and now we are ready to offer it to the public as it gained new features:

Modal panels

We introduced a new way of entering (and editing) Goals, by using widgets called "Modal panels", which dramatically speeds up the page loading times. Now available for Goals, but soon to be introduced everywhere, from projects and tasks to checklists.

To add a goal choose New goals from the menu, or press the g key, and this new panel will pop-up right on the page without having to wait more than 1 sec:

Attach Checklists to contexts and projects

Right now the feature is only for weekly-based checklists.

To attach a Checklist to a context/project, go to " Edit weekly checklists", and click the Edit button for the checklist that you wish to attach. Then use the drop-down menus to select a context/project:

Evernote Integration II

Gtdagenda has a new Evernote integration.

Select Notebooks to sync
You can now select the Notebooks which should be synced. Notes that are not in these notebooks, will not be imported. Go to Extra>Evernote to access this option:




365-days connection
When authorizing Gtdagenda access to Evernote, the connection will stay alive for 65 days. You can always disconnect manually, either from Gtdagenda, or from the Evernote Settings page.

Gtdagenda goes international (13 languages)

Gtdagenda goes international and it's now available in 13 languages: Danish, German, English, Spanish, French, Italian, Dutch, Norwegian, Polish, Romanian, Russian, Croatian and Swedish.

You can change the default language from the "Settings" page. If you want to report translation errors or omissions for your language just send a message to: translate@gtdagenda.com, and we'll fix.

New Twitter Integration

Twitter recently changed their authentication policy, and we made Gtdagenda use this new method. This means you'll need to sync your account again by going to "Extra > Twitter" page in your Gtdagenda account.

There's new functionality too:
- Gtdagenda can import public tweets mentioning your @username
- Gtdagenda can import Direct Messages sent to your @username
- Gtdagenda can import Direct Messages sent to @gtdagenda from you

NEW: Gtdagenda integrates with your e-mail(s)

Get more Done by converting your work messages into Gtdagenda Projects or Tasks. Gtdagenda can now integrate with your external e-mail addresses.

1. To add a new mailbox that Gtdagenda will fetch messages from, go to the Admin>Mailboxes menu:




2. Add your mailbox and server details. Gtdagenda will connect either by POP3 or IMAP. Messages will be converted inside Gtdagenda into Task or Project, so you can work on them. (Converting into Project gives more flexibility, so we recommend it.)




3. New e-mails are fetched, (and in this example converted into a Gtdagenda project.):




4. You can answer directly from the project, and your Reply will be appended to it. When your corespondent replies again, his message is appended to the same project.




5. As in any Gtdagenda project, you can add a project comment using the Edit button:




6. Or you can add a Task/Next Action, as an action step related to the e-mail conversation:




All of this is appended to the same project, and you have a single nice page with all the e-mails, comments, files, and Tasks/Next Actions related to that project.

NEW: Integration with Evernote

Gtdagenda now syncs with Evernote, and you can attach Evernote notes to your Gtdagenda account.

Evernote is the ultimate storage solution for your notes, your "External Brain". Keep all your reference material in Evernote and link what you need to your Gtdagenda projects and contexts.


How it works

1) First go to the Extra > Evernote menu on top of your Gtdagenda account, to do the initial synchronization with Evernote.




2) After completing this step successfully, a "Notes" menu will be activated in Gtdagenda. Use it for quick access to your notes.


3) To attach notes to any of your contexts and projects, simply click the "Attach Note" link at the bottom of every context and project.

Import Tasks from Microsoft Outlook

Just added a great feature for importing your Outlook tasks into Gtdagenda.

Here's a quick tutorial with the exact steps to follow:

Export from Outlook
1. Open your Tasks list in Microsoft Outlook
2. Go to File > Import and Export menu
3. Choose the 'Export to a file' option
4. Select 'CSV (Windows)' from the export options
5. Save the file to your computer

Import into Gtdagenda
1. Click on the link called 'Extra' at the top of your Gtdagenda account.
2. Select 'Import' from the list.
3. Click 'Browse' and locate the previously downloaded file on your computer.
4. Click 'Upload', and confirm that the list of Tasks looks correct.
5. Click 'Import'.

Now you can attach files to your projects.

The account limits are as follows:

Basic: 200 MB
Premium: 500 MB
Business Silver: 2 GB
Business Gold: 10 GB


To attach files to a project, open your project and then click the "Edit" button located top-right:




Click the "Attach a file" button located at the bottom, below the notes area. After selecting a file from your local disk, press "Update project" to upload the file to server, along with any modifications made to the project:




All attached files are listed in the project notes area. The pictures are displayed as they are (resized if necessary), while all the other files have a link to download:

Project Edits

You can now edit a project and insert a note at the same time. All the modifications made to a project are displayed right on the project's page, for further reference.

Adding Multiple Tasks

We are proud to announce that you can now add in Gtdagenda more tasks simultaneously. In fact we went further and streamlined the whole process of adding tasks a little bit more.

Inserting a single task

The first screen when you want to add a task shows only one box for entering the task name, with some task details being predefined for you and shown in small font. That's all, to insert the task give it a name and then you can press Enter.



Inserting multiple tasks

If you want to insert many tasks at once, use the link titled "multiple" from the right of the task name box. The box expands and now you can enter all your tasks in it, ONE PER LINE.



More task(s) details

Gtdagenda remembers what Project or Context you were in, or if on the Next Actions page, and these details are automatically applied to the task with no effort on your part. However, if you want to modify these or enter even more details, such as a Note, a Due Date or a Recurring period, you can press the "Add details" link below the task(s) box.

Multi-User accounts

We created two new Gdagenda plans, that are multi-user and have a couple of new features.

The two main "Gtdagenda Business" plans are for 5 and 15 users respectively. If you need more than that, you can create a custom plan that includes the needed number of users. The maximum allowed is up-to 150 users.

The new features are:

- Own subdomain A Gtdagenda Business account owner can choose his own subdomain, like: mycompany.gtdagenda.com

- Custom branding A Gtdagenda Business account owner can upload a personal logo, that will stay on the screen when him or any of his users are logged in.

New: XML Export

Until now we had two options to export your data: Print, and Email. We just added another option: XML export.

You can save anything from Gtdagenda as a XML file directly on your computer. Take your data with you wherever you want, or save it on your computer as a backup.

Improved Checklists with AJAX

Tasks management faster

The Tasks and Next Actions sections of Gtdagenda now work much smoother. We've made some big improvements to the way tasks are managed. Every action that you perform on tasks now takes place on a single screen, with the power of AJAX.

Here's a comparison on how tasks management has been improved, how it was before vs. how it is now:

Adding a task - before: 2 page-loads, now: Zero page-loads.
Editing a task - before: 2 page-loads, now: Zero page-loads.
Marking tasks as done - before: one page-load, now: Zero page-loads.
Moving tasks between contexts and projects - before: one page-load, now: Zero page-loads.
Setting/unsetting Next Actions - before: one page-load, now: Zero page-loads.
Deleting Tasks - before: one page-load, now: Zero page-loads.
etc

All of the above now can be performed with 1 or 2 clicks and with Zero unnecessary page-loads.

Recurring tasks

Gtdagenda now has recurring tasks. You are able to say that a task recurs, and this comes handy for every regular thing that you need to remember over time (bills, etc.) The task will show up again at the appropiate date, automatically.

Complete Checklists from Twitter

Step 1) Follow Gtdagenda on Twitter:
Go to our Twitter profile here: http://twitter.com/Gtdagenda and click on the Follow button.

Step 2) Instruct Gtdagenda to follow you too:
Go to your http://www.Gtdagenda.com Settings page, section Services, and add your Twitter username. Click the Save button.

Now that you syncronized your Gtdagenda account with your Twitter account, you can complete your Checklists directly from Twitter.

You need to send a direct message to Gtdagenda from Twitter, like this:

d gtdagenda chk Exercise -> the checklist with the name "Exercise" will be marked as done for that day.

Please note that it might take 1-2 minutes for this to be visible in your Gtdagenda.com account.

Now that you syncronized your Gtdagenda account with your Twitter account, you can add tasks directly from Twitter.

You need to send a direct message to Gtdagenda from Twitter, like this:

d gtdagenda Call Jim -> a task with the name "Call Jim" will be created in your Gtdagenda.com account.
d gtdagenda na Call Jim -> a starred Next Action "Call Jim" will be created in your Gtdagenda.com account.
d gtdagenda p1 Call Jim -> a task with the name "Call Jim" and of priority 1 will be created in your Gtdagenda.com account.
d gtdagenda @Home Call Jim -> a task with the name "Call Jim" will be added to your Home context.
d gtdagenda * p2 @Home Call Jim -> a Next Action with the name "Call Jim", of priority 2, and in the context Home will be added to your Gtdagenda.com account.

Editing Tasks with the mobile version

Editing your tasks is now possible with the mobile version, along with Add, Delete, and Mark as done.

My Vision Wall available in the mobile version

Now you can access your Vision Wall using the mobile version of Gtdagenda too. All your images will be listed one under another, and clicking on one of them will get you to the corresponding Goal. Also, you can set your mobile start page to My Vision Wall.

Reminders: your Calendar entries for today

You can subscribe to Gtdagenda with third party services, thanks to the new iCal feed. Now Google Calendar or Apple iCal can stay up-to-date with your Gtdagenda tasks. Go to the Settings page to activate the iCal feed.

Sharing of Projects and Contexts

Invite and add Contacts to your account, then share your Projects and Contexts with them. You can share your lists with as many people as you'd like.

To invite someone, enter their email address and they will be automatically recognized if they have a Gtdagenda account. If not, they will receive a invitation to join. more on the forum

Full Someday/Maybe functionality
